Let me walk through each of these tools with you and tell you how to implement them to keep you sane and keep your clients HAPPY!
Client/Team Member Onboarding Guides
These are a great tool for anyone who needs to distribute a larger amount of instructions or guidance to newcomers. This method of onboarding is especially handy for those who are network marketers or in educational industries like confidence coaching, life coaching, fitness and wellness.
Basically, you compile ALL of the information you need to communicate to your client or team member into one big (visually attractive) PDF document. Now mind you, if the information you’re trying to communicate can get overwhelming fast, it’s OKAY to break it down into a few BITE SIZE documents to keep people focused.
The whole idea of this system is to put everything into one place that is easy to access for your RECIPIENT, and to help YOU ensure that all clients and team members get the SAME information.
It also eliminates you answering the same 50 questions on repeat ad infinitum, thereby FREEING UP YOUR TIME!
And just in case you’re wondering WHERE to go to create your onboarding guides, Canva is a FANTASTIC platform where you can create beautiful documents with ease.
For many professionals in the health and wellness industry (and other service based businesses), getting to know the needs of your client is extremely essential and even a little bit PERSONAL!
A great way to get the information you need in a sensitive and speedy manner, is to set up a DISCOVERY CALL! This is basically just a 30 minute chat between you and your potential client or team member where you ask questions, they give you answers, and get the chance to ask a few questions of their own!
It’s also a fantastic way to establish the know-like-trust factor!
Think about how much more CONFIDENT you’d feel if you chatted face to face with the person you’re about to invest in?!
The Discovery Call method can also be combined with a form (see next section) to really bump up the communication. You set up a system that requires them to fill out a short form before scheduling their discovery call. There are many services (such as Acuity Scheduling) that allow you to integrate the form directly into the scheduling process so there are no extra steps. OR you can direct people to a form link and place the discovery call scheduler on the thank you page.
This is a great way to establish an easy starting point for introductions and deeper questions!

I can guarantee you’ve seen this system in action at least a few times if you’ve spent ANY time at all on the internet. Essentially, forms are a quick and convenient way to collect information from people.
The great thing about forms is the VERSATILITY they present. There are 3 main ways to use forms for your business: Registration, Payment, and Information Gathering/Research.
There are also TONS of different platforms for forms that you can explore. Each has its own pros, cons, & special features. Here are a few of my favorites:
- Google Forms
- Survey Monkey
- Ninja Forms/Gravity Forms/Contact Form 7 (For WordPress users ONLY!)
- CRM/EMP Opt-In Forms (most email marketing platforms have at least basic registration forms integrated in some way)
I encourage you to brainstorm a few ways to implement forms into your business processes. I promise you won’t regret it!
Last but not least is my FAVORITE way to optimize business processes!! There are SO MANY WAYS you can integrate email systems and the possibilities are ENDLESS! I almost need a whole ‘nother post to get through them all, so I’m going to just break it down into a list of my favorites:
- Client/Team Member Onboarding – Great if you have multiple steps you want people to take, and can even be combined with the PDF Guide method by using email to automatically and strategically deliver the files to your recipient instead of hand sending. (Hellooooo time freedom!)
- Sales/Promotions – This one is kinda obvious but VERY important! Email marketing platforms are a great way to optimize sales through workflows and automations that are designed to follow the actions of your subscribers. Managing abandoned carts, product/program launches, and sales becomes SIMPLE through email automation.
- Connecting and Providing Value To Your Subscribers – You can send newsletters, fresh blog content, special freebies, educational information and SO MUCH MORE just by setting up drip campaigns. This is a great way to FUNNEL people into buying your products and services.
